Role of the Conference Organizers in the Annals Publication Process

We publish both New York Academy of Sciences' (NYAS) meetings and the meetings of other conveners as volumes in the Annals of the New York Academy of Sciences. In either case, many of the administrative tasks related to publication are handled by our own staff, but we also ask that the meeting organizers assume some of the administrative responsibilities for the publication of the proceedings.

We will need your input in determining the market for the volume—what professional societies, institutions, special libraries, or government agencies might be interested in the volume, and what journals might be approached to review the volume.

Getting the Ball Rolling on Publication

When the conference is accepted for publication, we expect the organizers to make it clear to the speakers that they are expected to submit manuscripts for publication in the proceedings volume. This should occur before the conference, ideally at the time the speaker's commitment to attend is confirmed.

The target size of our volumes is generally 25 to 40 plenary papers, a maximum of about 600 to 750 manuscript pages, including tables and figures.

Speakers will sometimes express concerns about material that they wish to reserve for the top peer-reviewed publications in their fields. We understand this need, and ask that they "write around" those areas so that their article for the Annals remains a robust report. We do not re-publish articles published first elsewhere.

As an incentive, the speakers should be reminded that the Annals are widely read and cited by scientists all over the world. The series is ranked by Thomson Scientific as being in the top 2% of sources cited in the scientific literature. The Annals are available online through over 5000 academic libraries, and to all NYAS members.

The link to our instructions to authors should be sent to all speakers and any other invited chapter authors. The Acquisitions Editor will provide the link to the organizers, who will send it on to the authors. It should be noted that these instructions are guidelines, not rigid rules. For example, page length instructions can be adjusted according to the judgment and specifications of the volume editors. We recognize that often there is an appropriate length for a paper that is driven by its content.

Deadlines

We advise setting a manuscript deadline of the last day of the conference, with a second firm deadline of one month after the meeting. If it is expected that papers may be polished in light of discussion at the conference, an alternative set of deadlines could be imposed of two weeks after the conference with the second deadline six weeks after the meeting.

Submission Process

We ask that at the time of the conference, a preliminary table of contents be sent to the Acquisitions Editor, including all expected chapters.

Manuscripts should be submitted through Manuscript Central, our online manuscript submission system. The editors will then review each paper and request revisions if necessary.

Overview or Introduction

We ask that the conference organizers prepare an overview chapter for the volume. This chapter should contain the rationale for the conference and should place the chapters within the broader scientific context. Librarians particularly value this contribution. The overview should be prepared as soon as possible after the papers have been submitted and reviewed. For examples of overview chapters:

Review and Editorial Processes

After the manuscripts have been submitted through Manuscript Central, we ask that the volume editor(s) (one or more of the conference organizers) review them and approve them for publication.

We ask that the editor(s) look each chapter over to verify that it is in reasonable compliance with our instructions to authors, that it fully covers the topic presented at the meeting, and that the science reported is up to the expected standard.

In the event that revisions are required, the volume editor should give the author reasonably detailed guidance about the revisions that are needed to make the chapter fit better into the volume.

Our publishing partner, Blackwell Publishing, will copyedit for style, grammar, and punctuation, and typeset the chapters. First-pass page proofs (by a link from Techbooks) will be sent to the corresponding author for final approval. The senior volume editor (one of the meeting organizers) will have access to a complete set of these proofs for review.

The book will be published both online and as a softcover volume for libraries and individual sales. Upon publication, the corresponding author of each chapter will receive a complimentary copy of the softcover edition. A total of ten complimentary copies of the volume will be sent to the editors as a group.
