What is your event cancellation policy?

Cancellation requests must be received by our Customer Service Team in writing at least 15 days prior to the meeting start date. A 25% cancellation fee will be charged. There will be no refunds given for requests made after the 15 day timeline.

What are the options to get to the Academy from NYC area aiports?

Taxis

La Guardia Airport
Taxis take about 20-40 minutes. Group rides are generally available at the dispatch lines, outside the baggage claim areas. You may find out more information about taxi fares in New York at the Taxi and Limousine Commission website.

John F. Kennedy Airport
Taxis take about an hour. Yellow cabs into Manhattan must provide a flat fare, plus any tolls. The meter will not be turned on, and the night surcharge will not be added. If passengers request multiple stops, the flat will be collected at the first stop in Manhattan, and the meter will be turned on for the remainder of the trip. The metered fare should be collected at the last stop, from the last passenger. You may find out more information about taxi fares in New York at the Taxi and Limousine Commission website.

Newark Airport
Taxis take about 45 minutes. Group rates are available.

Airports: Shuttles, Express Buses, and Rail

Gray Line Air Shuttle Minibus
Serves a number of hotels directly from JFK, LaGuardia, and Newark airports.

Newark Airport Express Bus
Express bus runs from 5am until 1am. Note that the service is available 24/7 during all year.

AirTrain Newark
The regional rail transportation connection between Newark Airport and New York Penn Station. Passengers can take scheduled NJ Transit or Amtrak rail service between New York Penn Station and the Newark International Airport Rail Link station, situated close to the airport terminals. At the Rail Link station passengers transfer onto AirTrain for the short ride to/from the airport terminals. Passengers can also check flight information, purchase airline tickets and check-in for their flight.

Do you offer any financial support for early-career scientists to get to your events?

Travel Fellowships

To encourage highly qualified early career investigators, women, racial/ethnic minorities, persons with disabilities, and other individuals who traditionally have been underrepresented in science to pursue professional STEM careers, the Academy provides Travel Fellowships to defray (in part) the travel, lodging, and registration costs for meritorious individuals to attend and present at Academy symposia.
